Importing Inventory

You can import inventory information from your warehouses directly into Skubana using the Inventory module.

To import inventory, follow the procedure below.

1. On  the Toolbar, click Inventory.
2. On the Inventory page, click Import/Export, then Import Inventory.

3. On the Select Warehouse for Inventory Import window, select the warehouse from which the inventory is to be imported, then click Continue.

If the warehouse you want to import inventory from is a direct, or in-house, fulfillment warehouse, go to Step 4.

If the warehouse is a 3PL or a drop-shipper's warehouse, skip to Step 5

4. On the In-House Inventory Import window, download the MS Excel template for inventory import. Alternatively, you can download the template here.

Enter your inventory data into the template, following the template's file format, then save the completed file on your computer. Skip to Step 6.

5. On the External Warehouse Manual Inventory Import window, download the MS Excel template for manual 3PL inventory import. Alternatively, you can download the template here.

Enter your inventory data into the template, following the template's file format, then save the completed file on your computer.

6. Back on the In-House Inventory Import (if you are importing inventory from an in-house fulfillment warehouse) or on the External Warehouse Manual Inventory Import (if you are importing inventory from a 3PL or drop-shipper's warehouse) window, select the Excel inventory file from your PC, indicate if you want the import file to update existing stock if changes are found in the Excel file, then click Continue.

Skubana then starts processing the import file. The speed with which the process runs and completes depend on the number and/or size of the inventory data to be imported into Skubana.

The tables below show the header rows and descriptions of both the in-house inventory import and the external warehouse manual inventory import spreadsheets. You may use these tables as guides when filling up the spreadsheets.

In-House Inventory Import Spreadsheet
Header Description
Master SKU  Master SKU for the inventory quantity
Location  The location for the specific inventory quantity. One line per pick location.
Draw Rank  The priority of the pick location from which Skubana will pull inventory. If you have multiple pick locations, the draw rank tells Skubana where to pick from first.
Active Either True or False. Denotes if the SKU is actively sold. When set to True, it will be actively tracked. When set to False, it will be recorded as a Deactivated Product, and will be excluded from active tracking and monitoring.
Is Pickable? True or False. A location is pickable when its stock can be used, or 'picked,' for fulfillment purposes.
Is Receivable? True or False. A location is receivable when it can be used for receiving inventory.
On Hand Stock The total inventory quantity for the location. If you have multiple locations, e.g. one is a pick location and the secondary is a storage location, you need to have one line for each location with the quantities specified for each location.
Locked Inventory Inventory quantity that is not available for use. Also called quarantined. Normally used for reserving quantity for other, e.g. customer service, purposes.
Location Minimum Level Minimum inventory quantity on a location-based level. There is a minimum on a SKU-based level as well. Alerts to reorder are sent when stock quantities reach this level.

 

3PL Inventory Import Spreadsheet
Header  Description
Master SKU Master SKU for the inventory quantity
On Hand Total inventory quantity within a specific 3PL warehouse
Locked Inventory quantity that is not available for use. Also called quarantined. Normally used for reserving quantity for other, e.g. customer service, purposes.
Allocated Inventory quantity that is already in use but has not been processed out of the 3PL warehouse yet. Not included in inventory count.
Active Either True or False. Denotes if the SKU is actively sold. When set to True, it will be actively tracked. When set to False, it will be recorded as a Deactivated Product, and will be excluded from active tracking and monitoring.
